How every build works.
Plan first
After the kickoff payment we book a plan session (an AI Time Audit client already had one), and your written plan follows within 5 business days of it: exact scope, the samples of your work we test on, the acceptance test, the date and the price. Until you approve it, you can cancel for a full refund of the kickoff, paid within 7 business days. If you neither approve nor decline within 30 days of receiving it, we refund the kickoff and close the build.
Payment
30% at checkout. 70% invoiced when the acceptance test passes, due in 7 days. Credits for a Decision Session or an AI Time Audit come off that invoice (see Credits). Custom AI Agents has its own kickoff and founding terms (see Custom AI Agents).
The guarantee
Working on your real work by the date in your plan, or a full refund. If the acceptance test in your approved plan has not passed on your recorded samples by the plan date, you choose a full refund of everything paid for that build, or free work until it passes. Tell us in writing within 10 business days after the plan date; the refund is paid within 7 business days of your request. The date moves day for day only while we wait on access, files or answers we asked for in writing.
Acceptance
We record a passing run of the test on your samples. You have 5 business days to name a failed check in writing; if you name none, it is accepted. A check fails only if it fails on a rerun of the recorded samples.
After acceptance
30 days of free fixes. If a check that passed fails again and we cannot make it pass within 5 business days of your written note, you may choose a full refund (claim within the 30 days; we switch off what we built). Not covered: changes you make to your tools or process, and changes by AI or software providers, which Monthly AI Care covers.
Decision Session
$450, paid at booking. 60 minutes by video or in Orlando on one question you bring, then a written decision page within 2 business days: the decision, the reasons, the numbers, the next step and what it costs. If it wasn't worth $450 to you, tell us within 7 days of receiving the page: a full refund within 7 business days.
AI Time Audit
$750, paid in full. A 90-minute session timing your biggest time sinks, and a written plan within 5 business days that ranks the fixes with fixed prices and lists money leaks we find (failed payments, unused subscriptions, automations that are off). If the plan isn't worth $750 to you, tell us within 14 days of receiving it: a full refund within 7 business days, and you keep the plan.
Credits
A Decision Session is credited once, in full, toward the AI Time Audit or any build started within 60 days. An AI Time Audit is credited once, in full, toward any build started within 60 days of its plan, taken off the 70% invoice. A credit is never more than you paid: a Session credited to an Audit carries on as the Audit's $750, not $450 more.
Team AI Setup
$3,000 for up to 10 people, live in 2 weeks: one AI tool on a business plan in your name with training on your data off, up to 25 of your documents loaded, five ready assistants, an AI use policy, the AI Guardrails Check and one recorded training. Each extra 10 people adds $1,000, up to 50; larger teams start with the AI Time Audit. It does not include AI that talks to your customers or answers your phones.
Custom AI Agents
One AI agent built around one job you name, working on your real work in about 4 weeks, inside your own email, calendar, CRM and the AI you already pay for (ChatGPT, Claude or Grok). You approve anything that matters before it goes out. Founding price: $1,000 for each of our first 5 clients who agree that we may publish a short case study of the build. $300 is paid at checkout and $700 is invoiced when it passes its acceptance test. Every other client, and every client after the first 5, pays $2,000: $600 at checkout and $1,400 when it passes its acceptance test. Anything bigger than one agent and one job is priced in your written plan, the kickoff counts toward it, and the rest is invoiced the same way. It works on jobs inside your business and does not answer or chase customer inquiries. Same plan-first terms, acceptance test and guarantee as every build.
Month-End Books
$6,000, live in 4 weeks, for one business and one accounting file: receipts and bills read into your accounting software and matched, a month-end checklist, and a one-page summary that includes who owes you, so your books are ready for your accountant by the 5th. It never includes filing taxes or tax advice; your accountant still does both. Catching up past months is quoted in your plan.
Retyping Fix
$9,000, live in 6 weeks: one flow, such as a new order or job, entered once and sent to up to 4 of your tools, with a draft invoice for you to send and unusual entries sent to your named person first. It does not replace your software or handle website forms and new inquiries.
Custom work
Any other integration or build is priced at $3,000, $6,000 or $9,000, fixed in your written plan, with the same plan-first terms, billing, acceptance test and guarantee.
Monthly AI Care
$750 a month for build clients, starting when your 30 days of free fixes end. It covers a weekly check of everything we built, fixes, updates when an AI tool or connected app changes, a monthly check-in and up to 3 improvement hours a month (they do not roll over). Cancel anytime; Care ends at the end of the month you paid for. If a covered fault is not fixed within 2 business days of your report, that month's fee is credited on your next invoice, capped at one month's fee.
Your accounts and subscriptions
Everything is built in your accounts and you own it. You pay AI and software subscriptions directly (AI plans run about $20 to $30 a person a month); we never resell or mark them up. We use tools such as ChatGPT, Claude, Grok and Microsoft Copilot and are not a partner of OpenAI, Anthropic, xAI or Microsoft.
